Broken Links During Syncs

If a sync is in progress and a user clicks on a link, they might see a broken link message. This happens because the system is currently checking the page against the staging version to see if an update is needed. If you encounter this issue, please wait for the sync to finish and then try the link again.

Viewing the Sync Schedule

You must be behind the State Firewall to see the Sync Schedule. Go to the Ektron login site and the sync schedule is displayed on the right side of the page.

Sync Schedule

We perform syncs every 2 hours from 8:30 AM to 4:30 PM, with an additional sync at 5:30 PM and a final sync at midnight each night. If you can access the Sync Schedule, please check for any missing syncs (e.g., 8:30 AM, 10:30 AM, 12:30 PM, 2:30 PM, 4:30 PM, or 5:30 PM)—if a sync is missing, it is actively running. Once a sync is completed, it will reappear on the page, showing the completion date and time.

    Timing of Postings

The information below outlines the timing for posting documents or information to an Ektron website, depending on when you want it to appear, and the process for getting it posted either through your own actions or with the help of StateWeb. Here's a breakdown of the key points:

    • If you want something posted by 9:00 a.m.:
      • You must first post it to the staging environment before midnight the night before.
      • The sync process (which transfers data to the public site) takes approximately an hour and a half to run, so if you post it just before the 8:30 a.m. sync, it won't appear on the public site until around 10 a.m.
      • If you want StateWeb to post it for you, the document must be received no later than 2:30 pm the previous day to ensure it is posted by 5:00 p.m. the night before its due, allowing the sync to complete overnight and have it appear on the site before the 9:00 a.m. deadline.

    • If you want something posted by 5:00 p.m.:
      • Post it to the staging environment before the 2:30 p.m. sync.
      • The sync process (which transfers data to the public site) takes approximately an hour and a half to run, so if you post it just before the 2:30 p.m. sync, it will appear on the public site at approximately 4 pm. If you post it just before the 4:30 pm sync, it will not appear n the site until approximately 6 pm.
      • oIf you need StateWeb's help to get something posted by 5:00 p.m., send it to them before 2:00 p.m. on the same day to meet the posting deadline.

In summary, posting times are closely tied to sync schedules, and the earlier you submit your content, the more likely it is to appear on time. If you're relying on StateWeb, the deadline for submission is earlier than if you're doing it yourself.
